Many business owners in Dar es Salaam ask the same question in different words: "Do I need a website, an app, a system, or this AI everyone talks about?" The honest answer is that they solve different problems. Here is a simple way to tell which one you need first.
Start with the problem, not the technology
Before choosing anything, write down the one thing that costs you the most today. Usually it is one of these:
- Customers can't find you, or don't trust you yet. That is a website problem.
- Your team loses time, files and deadlines. That is a systems problem.
- The same work is done again and again by hand. That is an automation and AI problem.
Most businesses have a bit of all three. The trick is to fix the most expensive one first.
When you need a website
A website is your shop window. In Tanzania most people will see it on a phone, often on a slow or expensive connection, so it has to load fast and say clearly what you do, where you are and how to reach you.
You need a website first if:
- people hear about you and then search for you on Google, Instagram or WhatsApp;
- you sell to companies, who check a supplier's website before they call;
- you want to appear when someone asks Google, ChatGPT or Claude for a business like yours in your city.
A good business website in 2026 is not just pages. It is set up for Google Search Console and Bing, has clear page titles, and gives AI assistants a summary they can read. If it is in English and Kiswahili, it reaches far more people in Tanzania and East Africa.
When you need a business system
If your company runs on spreadsheets, paper forms and WhatsApp groups, things get lost: a permit expires unnoticed, a task has no owner, the director can't see what is late.
A custom system puts tasks, files, approvals and reports in one place. It is worth it when:
- you have more than a handful of people, or several companies sharing one team;
- important dates (licences, permits, contracts) must never be missed;
- managers spend hours every week asking "where are we with this?".
The best systems are built around how your team already works, introduced in stages, with the most useful part in people's hands first.
Where AI and automation really help
AI is useful when work repeats: writing the same kind of report, summarising documents, typing data from one place into another, drafting replies to customers. It is much less useful as a vague "AI strategy".
A good first step is small: pick one task that takes your team hours every week, automate it end to end, and measure the hours saved. If it works, do the next one. Keep a person checking anything that goes to a customer.
A simple order that works for most businesses
- A clear, fast website so customers can find and trust you.
- One system for the part of the business that loses the most time or money.
- Automation and AI on top, for the tasks that repeat.
